What’s the best way to keep track of special requests and requirements for incoming guests? Do you keep a mental note, or perhaps you write it down? Our new Booking Flags feature is a better solution; a quick and convenient way for VRMs to indicate the special requirements of a reservation.
Let’s say, during pre-arrival communication with a guest, it came up that a member of the party has a nut allergy. You want to make sure that the reservationists and on-the-ground property management staff are aware of this and able to properly care for the guest during their stay. With the Booking Flags tool, you can mark the reservation with a special indicator to remind your staff of the nut allergy, and ensure no issues during the stay. Booking Flags can be used for anything from accessibility issues and allergies, to VIP guests, problem guests, and more.
How to locate the Booking Flags setup page:
To locate the Booking Flags setup page, first, log in to CiiRUS. Locate and click on Account Settings > click Software Settings Assistant > and click Navigate on the bottom left.
How to create Booking Flags:
Once you have located Booking Flags in the Software Settings Assistant, click on the Add button > Enter a Code and a Description > and click Add. Create additional Booking Flags by clicking the Plus button.
How to add Booking Flags to a reservation:
To add a Booking Flag to a reservation, navigate to Reservations & Quoting and click Bookings Manager. You can access the TBS from the Bookings Manager, and also from the Bookings List, Booking Schedule, and Dashboard.
Double click on the booking to open the Total Booking Summary (TBS).
Once in the TBS, click the flags tab to see all Booking Flags.
Booking Flags Comments:
Adding comments to Booking Flags is simple. If a guest makes a special request, input a comment (e.g., the guest is a VIP) in the comments section and apply it to the reservation.
Booking Flags Report:
To locate the Booking Flags Report, navigate to Management Company > Reporting > click Additional Reports > and select Booking Flags Report.
Select a date range and then uncheck the All Flags? box.
Click the drop-down menu to view the Booking Flags codes > select one or more of the Booking Flag Codes > and click Ok.
Click View to see Booking Flags for the selected dates.
Print, export, and email a Booking Flags report in the format of a PDF, Word, Excel file, and more.
In the Bookings Schedule, reservations that have an applied Booking Flag display a green flag icon. However, that is not to confuse it with the red flag icon designated only for reservations that are Allocation on Arrival (AOA).
To view Booking Flags in the Bookings Schedule, navigate to Reservations & Quoting > click Bookings Schedule > click the Settings button > click Show if a reservation has flags set? > then click Ok. By right-clicking the booking, the Total Booking Summary can be used to view the Booking Flags associated with the reservation.
